Booking a conference

For the most efficient scheduling and conference planning process, call the BT Help desk.

Give the following information

Before you call to schedule, please have the following information ready:

Speaker details

  • Company name
  • First and Last name
  • Phone number
  • Email address
  • Time zone

Meeting details

  • Topic
  • Meeting date
  • Meeting time and time zone
  • Duration of meeting
  • Number of participants
  • Number of international participants, with approximate number of participants from each country

Features

Please also decide which features you will need. If you have any questions the conference coordinator will gladly answer them.

Oversubscription charges

Please note it is a good practice to validate required features and adjust the number of participants based on your accepted attendees. Making those adjustments with the BT help desk prior to your call will save you oversubscription charges.

Cancellation and no-show fees

To avoid cancellation or no‐show fees, you must cancel your Event or Operator-Assisted call with the BT help desk 24 hours prior to the call's scheduled start time. If you cancel the call with the help desk:

  • 24 hours before the scheduled start time, there is no cancellation charge
  • Between 1 and 24 hours of the scheduled start time, you will incur a charge of 50% of the value of the booked call
  • Less than 1 hour before the scheduled start time, you will incur a charge of the full booked value of the call
